For most facilities the easiest way to move in a tenant is through the Bird’s Eye View screen in Syrasoft Connect. Find the unit you would like to move the tenant into and left click the unit. The unit menu will appear next to the unit with the option to edit that unit, perform a move in or reserve the unit. Left click the middle icon to begin the move in.
The fields that appear in the Required Fields area will vary depending on facility preferences. As to what information your facility is legally obligated to collect please refer to your regional self storage association, they are a fantastic source for legal assistance.
Once you have collected the essential information to move a tenant in consider adding demographic data. Local variations in customer base demographics can mean a world of difference for facilities separated by even a few miles.
The demographics screen gives you the ability to keep valuable records on important facets of your customer-base. Understanding your specific locale’s needs and developing a marketing plan that is optimized for your specific location is one of the best ways to stretch your marketing dollar.
If your facility has opted to use SIM you can create the necessary usernames and logins during the initial move in process. You may add or alter this information later through the Tenant WorkCenter.
During a move in you may add SIM login information from the Login tab highlighted below.
Syrasoft Connect can automatically generate consistent usernames and passwords for users based on any number of existing account criteria. How the login is generated by default can always be changed in the Company Info settings.
If your facility has a gate which requires an access code the following steps will allow you to set up an access code during the move in process
The Promo/Charges/Vehicle screen allows operators to customize the specific details of the move in, manage the prorate and negotiate various move in fees, lending maximum flexibility for the operator to utilize in closing the deal.
Many tenants and facilities prefer the peace of mind and extra profitability that insurance on a unit lends to the transaction.
Operators have a wide array of choices in Syrasoft Connect when it comes to delivery methods.
Tenants and operators may review the initial cost of move in and the charges per period together to ensure every party is on the same page when closing the deal.
Once the tenant has agreed to the charges the financial screen will present options for payment.
The final step in the move in is processing the payment. In this example a cash payment is used but any payment method that Syrasoft Connect has been configured to handle will be available. For more information visit the Processing a Payment page.
Once the payment has been applied the unit in question will turn from Vacant to Rented on the BEV.
