Performing a Move In

Performing a move in with Syrasoft Connect is an incredibly simple process.

Our Move In Wizard walks you or your staff through the Move In quickly and easily while granting access to options that ensure your operation runs as efficiently as possible.

As with all new Syrasoft Knowledgebase tutorials you may follow along step by step with screenshots and written instructions below or make use of a simple tutorial video that narrates the process.

1. Starting at the Bird’s Eye View Screen

For many smaller facilities the easiest way to move in a tenant is through the Bird’s Eye View screen in Syrasoft Connect.

Simply find the unit in the BEV screen that you would like to move a tenant into and left click the unit.

The unit menu will appear next to the unit with the option to edit that unit, perform a move in or reserve the unit. Left click the middle icon to begin the move in.

1. Starting From the Unit Workcenter

For many larger facilities or multi-facility organizations the Unit Workcenter is the ideal place to start a move in is the Unit Workcenter.

The Unit Workcenter allows operators to search and sort existing unit inventory by number, unit type, rental status, existing tenant name and next rent assessment date.

Operators can quickly find the unit they are looking for and move directly into the Move In Process

1. If you have more than one facility use the Group Dropdown menu to ure the appropriate group or individual facility is selected. This can be set to “All Facilities” by default if selecting from your entire inventory is desired.
2. Select the unit desired(optional). The selected unit will carry over into the move in process.
3. Click the Move In icon. This will launch the Move In wizard which will also permit you to select a unit from an extremely useful unit inventory window.

2. New or Existing Tenant

Select the New Tenant button from the New or Existing Tenant window.

If the operator selects Existing tenant they will be given a list of tenants which includes a Group Dropdown menu. This permits the operator to find a tenant from Facility A and move them into Facility B

3. Enter Tenant Information and Demographics

The fields that appear in the Required Fields area will vary depending on facility preferences. As to what information your facility is legally obligated to collect please refer to your regional self storage association. They are a fantastic source for legal assistance.

Once you have the essential information to move a tenant in consider adding demographic data. Local variations in customer base demographics can mean a world of difference in how to cater to your customers for facilities separated by even a few miles.

1. You may access demographics from either of the two highlighted areas.
2. If you would prefer to add demographic data later select Next to move on.

SIM(Syrasoft Internet Manager) Login Creation

If your facility has opted to use SIM you can create the necessary usernames and logins during the initial move in process. You may add or alter this information later through the Tenant WorkCenter.

Move In

During a move in you may add SIM login information from the Login tab highlighted below.

Syrasoft Connect can automatically generate consistent usernames and passwords for users based on any number of existing account criteria. How the login is generated by default can always be changed in the Company Info settings.

• Access Code + Last 4 Digits of Phone Number
• Full Phone Number
• Gate Access Code
• Manual Entry
• Unit Num + Access code
• Unit Number

4. Prorate/Add Promotions/Charges/Vehicles

The Promo/Charges/Vehicle screen allows operators to customize the specific details of the move in, manage the prorate and negotiate various move in fees, lending maximum flexibility for the operator to utilize in closing the deal.

5. Adding Insurance

Many tenants and facilities prefer the peace of mind and extra profitability that insurance on a unit lends to the transaction.

6. Select Documents for Print or Email

Operators have a wide array of choices in Syrasoft Connect when it comes to delivery methods.

7. Review Move in and Period Charges

Tenants and operators may review the initial cost of move in and the charges per period together to ensure every party is on the same page when closing the deal.

8. Financials Screen

Once the tenant has agreed to the charges the financial screen will present options for payment.

9. Process The Payment

The final step in the move in is processing the payment. In this example a cash payment is used but any payment method that Syrasoft Connect has been configured to handle will be available. For more information visit the Processing a Payment page.

10. Move in Completed

Once the payment has been applied the status of the unit will change from Vacant to Rented.
