Sending Mass Letters and Emails from Syrasoft Connect

Syrasoft Connect allows you to send letters to any individual tenant through the Tenant Info window but also offers a convenient mass communication feature for sending out emails and letters in batches to tenants that fall within specified criteria.

1. To begin click on Documents
2. Click Print/Email Documents

Once the Print/Email Documents window appears the following steps will guide you through sending a mass letter or email.

1. Select the letter/email template you would like to use. You may also select the method of communication to be used. We are choosing a Rent Adjustment template and Default Tenant Settings communication method meaning if the tenant prefers contact through email the letter will be emailed, if they prefer to be contacted via post the letter will print.
2. If you have a specific set of criteria for the letter in question selecting one of these options will allow you to filter the tenants who should not receive the desired letter out of the mailing. We are picking the Next Rent Assessment option.
3. Once Next Rent Assessment is selected we can choose the date range for the mailing to narrow down the subset of tenants to those with any adjustment to their rent within the selected date range.
4. This is an excellent tool for pre-dating physical letters to be mailed at a later time but it should be noted this will also add the date to any emails.
5. This box is populated with the tenants who fall within step 4’s criteria.
6. There are times when managers prefer to pick and choose which of the tenants that fall within the specified criteria receive the email or letter. If you hold down the CTRL key and click to highlight the selected tenants choosing Move Selected to bring over the hand picked tenants for the mailing. Otherwise select Move All to move all qualified tenants into the mailing queue.

1. In this example we’ve selected a handful of tenants to send a Rent Adjustment letter to. To remove any tenant from this list simply double click on their record and they will be removed from the final mailing list.
2. Once satisfied with the list you may hit Preview to preview the mailing or click Print/Email to deliver the emails and print the mailings that will go out by post.
